ABOUT THE CLIENT

Dubrovnik MyLife is a small tour agency offering both group and private tours in Dubrovnik. The owner, Paulina, is originally from Poland but has called the walled city her home for the past 20 years, where she lives with her family.

THE MAIN CHALLENGE

Through digitalization, Paulina wanted to solve two major pain points – she was spending too much time manually entering bookings and wanted to automate guest communication to ensure that every guest received all the necessary information before the tour.

An additional bonus: with Orioly, she no longer had to worry about tax authority compliance as all invoices are now automatically fiscalized.

Another important factor for her was the ability to offer an online booking system that supports the Polish language, as most of her guests come from Poland.

THE SOLUTION

By placing the calendar widget on her website, guests can now easily select and pay for their desired tour. All relevant information is in one place – the system guides guests clearly through the booking and payment process while collecting all necessary data along the way.

Guests automatically receive a booking confirmation email with additional details such as a Google Maps link to the meeting point, along with an invoice and voucher. The system also sends out a reminder one day before the tour, and a thank-you email with a review request the day after.

On the day of the tour, the guide simply needs to print out the guest list and focus on delivering the experience.

THE BENEFITS

Besides automating and speeding up the booking process, another big advantage is Orioly’s ability to integrate with other sales channels like GetYourGuide or partner agencies, helping to prevent overbooking. Every reservation is clearly marked with its source channel.

Additionally, sharing a direct booking link with a “Book Now” button on Instagram or Facebook helps attract more potential guests, allowing them to book instantly without sending additional inquiries.

And of course, Paulina highlighted the importance of Orioly’s customer support, which was available not just during setup but also throughout the busy season.

THE RESULT

Since implementing Orioly on her website, Paulina has expanded her offer by around 30% – and all tours last season were fully booked. Thanks to the option of advance payments, the number of no-shows has also significantly decreased. Her experience proves that when guests can prepay (either a deposit or the full amount), they are less likely to cancel.

For Paulina, this meant reducing cancellations from 20 in the previous season to just 2 last season.

quote "I personally really value direct contact with my guests, but during the busy season, it’s wonderful to see them booking tours on their own, without any emails or inquiries. I just receive a confirmation of the booking and payment in my inbox. Plus, I no longer have to worry about issuing invoices or handling cash payments on the spot. I’m from the 'analog' generation, which means I’m not exactly tech-savvy. Before choosing a booking system, I tested around five other platforms and spoke with their customer support teams. Orioly, although not the cheapest option, won me over because of its real, human support."
