Orioly Features 13 – How to Create a Custom Tour and Send a Payment Link

Sometimes guests ask for something special – a tour that is not part of your regular offer. They may want a modified itinerary, a private experience, or a combination of several activities. For these situations, Orioly allows you to create a custom tour and send your guests a secure link for online payment.

Note: This applies only to tours with pre-defined departure dates.

Here are the steps you need to follow:

1. Creating a Custom Tour

The first step is to create a new product in Orioly.

  • Enter the tour name – this can be the name of the itinerary you agreed on with the guest. We recommend adding (custom tour) to the title so you can easily distinguish it from your regular tours.

Add the key elements:

  • meeting point,
  • one photo (this photo will also appear in the booking confirmation email),
  • date and departure time,
  • prices and capacity.

When finished, save the custom tour.

👉 HINT: When setting up prices, you can choose the option that best fits your agreement with the guest:

  • one total price for the entire tour,
  • price by category (adults, children, students…),
  • price per included item (museum tickets, transfers, guided tours…),
  • group prices.

2. Creating an Offline Booking

Offline bookings are reservations created manually within Orioly, rather than through your website. You can use this option when guests book by phone, in person at your office, or directly at the tour or activity location.

Once you have created the custom tour, the next step is to make an offline booking.

  1. Go to the Reservations section and select Add new booking.

2. In the product list, find the custom tour you just created (it usually appears at the top).

3. Follow the steps to complete the booking:

  • select the date and time of departure,
  • indicate the number of guests,
  • add any extras (Add-ons) if available,
  • enter guest details (full name, email, address, phone number),
    add notes (if needed).

4. Save the booking.

After saving, the system will offer you the option Send Email. With one click, the guest automatically receives a confirmation email with all the booking details and – most importantly – a link for online payment.

👉 HINT:

  • If the guest is paying a deposit, follow the same process. The guest will receive a payment link for the deposit. Once it’s paid, the guest will automatically receive another email with a new link for the remaining amount.
  • If the guest prefers to pay on-site or via bank transfer, you must record this payment in the booking so that the system generates the correct invoice. You can then send the remaining balance via email in the same way. Cash payments can be added on-site using the mobile app, which also allows you to send the invoice and/or confirmation email.

One of the most useful features in Orioly is the ability to generate a payment link. This allows your guest to make a card payment later, either for the full amount or a partial amount of the booking.

This option is available for every booking – whether created online or offline.

After saving the booking:

  1. Go to Reservations and find the guest’s name.
  2. Click on the three dots and open the menu.
  3. Select Payments → Generate payment link.
  4. Copy the generated link and send it to the guest via your own email.

This way, the guest still has the option of making a secure online payment.

If you set an amount smaller than the full custom tour price, the booking status will be marked as deposit. After the first payment, the guest will automatically receive an invoice for the paid amount along with a link to pay the remaining balance.

👉 This functionality is not only useful for custom tours but also for regular online bookings. A payment link provides flexibility:

  • You can easily update and edit the booking (number of guests, price categories, guest details),
  • The guest receives a secure payment option,
  • You maintain full control over the amounts (full or partial payments).

In this way, you provide professional service and more flexibility for your guests, while making booking management easier for yourself.
